Word gives you three ways to add a handwritten signature, and they suit different situations: insert a signature image when you have one ready, draw directly with the Draw tab when you have a touch screen, or use a signature line when someone else needs to sign electronically. Here is each one, step by step.
Method 1: insert a signature image
This is the method to use when you already have a signature as a transparent PNG. If you do not have one yet, create it in the generator first: draw or type your name, pick a style, download the PNG.
- Click where the signature should go.
- Go to Insert, Pictures, This Device and select your PNG.
- Drag the corner handles to size it. A signature image at 300 to 500 pixels wide prints well at normal signature size.
- Right-click the image, choose Wrap Text, In Front of Text so it can sit on a signature line without pushing the text around.
If the image has a white background instead of transparency, it will cover the line under it. A transparent PNG avoids that problem entirely.
Method 2: draw with the Draw tab
This works best on a touch screen with a stylus. On a mouse, the result is rarely better than a typed stylized signature.
- If the Draw tab is missing, right-click the ribbon, choose Customize the Ribbon, and tick Draw.
- Pick a pen from the Draw tab, set the color to black or dark blue.
- Sign directly on the document.
Word stores ink as a vector, so it stays crisp when printed. The downside is that ink drawings do not copy into other apps as images easily. For a signature you plan to reuse, the image method is better.
Method 3: use a signature line
The signature line is for formal documents where the other party signs electronically with a service like DocuSign.
- Go to Insert, Text, Signature Line and fill in the signer's name and title.
- Word inserts a line with an X that marks where the signature goes.
- Send the document through your e-signature workflow; the signer's signature replaces the X.
Note the difference: the signature line creates a placeholder. It does not add your own handwritten signature to the document. For your own signature, use method 1 or 2.
